Managing Roles & Permissions
Roles define what someone can do inside a workspace. Keeping them accurate protects data and ensures compliance with league or club policies.
Role Types

Admin: Full control over billing, roles, storage, and exports. Admins can invite or remove members, change notification policies, and access all team data including private tags and coach notes.

Editor (shown as "Coach" in the UI): Can upload, tag, create reports, and share clips with players or guardians. Editors can promote sessions, publish reports, use AI tools, and access private tags and coach notes. Ideal for coaches and analysts who need full editing capabilities.

Viewer: Read-only access to team content. Viewers can see matches, clips, and reports but cannot edit, upload, or access private tags. Ideal for interns, volunteers, or temporary staff who need to view but not modify data.

Parent/Guardian: View-only access to team content shared with them. Parents can edit their personal workspace and content linked to their child player, but cannot modify team workspace data. They see only published coach notes and public tags.
Updating Roles
- Navigate to Settings → Team Management.
- Find the member you want to update and click the dropdown under Role.
- Select the new role; changes apply immediately and the user receives a notification.
Permission Safeguards
- Toggle Upload, Share Externally, or Delete permissions per user when you need finer control.
- Use seat assignments to cap the number of staff accounts who can access AI features.
- Review permissions quarterly, especially after tryouts or staff turnover.
Guardian Editing Rights
- Guardians inherit view-only access for official team analytics, but their personal workspace stays fully editable for uploads, annotations, and report drafts they create.
- Personal uploads are scoped to the linked player ID, so a guardian never edits another player's footage or stats by mistake.
- When team coaches share official reports, the app keeps annotations read-only in the Team Reports tab while leaving the My Uploads tab editable for the guardian.
Document changes in the comment log (“Promoted Alex to Admin on 4/15”) so other staff know who made updates and why.
